Package & Service Terms

This page is a plain-language summary of the standard Event Recap Plus offer. Availability, venue requirements, taxes, approved add-ons, and event-specific details appear in a written proposal. If this page and a signed proposal differ, the signed proposal controls.

Event Content System — $7,599

The base package covers one qualifying event day in Miami-Dade, Broward, or Palm Beach County and includes:

Not included unless quoted: photography, live streaming, full-session recordings, same-day edits, drone services, permits, venue or AV charges, talent, raw footage, project files, travel outside the included service area, lodging, parking, tolls, special insurance requirements, taxes, or licensed assets beyond the standard edit.

Standard commercial terms

Payment

A 50% scheduling retainer and signed proposal reserve the date. The remaining balance is due five business days before the event unless the proposal approves a purchase order or another schedule. Work beyond scope requires written approval and may change price or delivery.

Cancellation

More than 30 days before the event: the retainer and committed third-party costs are due. From 15–30 days: 50% of the project fee. From 3–14 days: 75%. Fewer than three business days: 100%. The proposal may adapt these terms for unusually large or multi-day productions.

Rescheduling

One client-requested reschedule made more than 14 days in advance may transfer to an available date within 90 days. Committed costs remain payable. Later changes, unavailable dates, or additional changes are treated as cancellation and a new booking.

Travel

Miami-Dade, Broward, and Palm Beach counties are included. Outside that area, business mileage is billed at the IRS rate in effect on the production date, plus actual tolls, parking, lodging, airfare, permits, and other approved travel costs.

Rush delivery

When capacity allows, a five-business-day first review adds 20% and a 48-hour first review adds 35%. Same-day or on-site editing requires a custom quote. A rush clock starts only after all required client materials are received.

Insurance and venue requirements

Available insurance limits, certificates, additional-insured endorsements, venue rules, permits, and related fees must be confirmed in the signed proposal. Event Recap Plus does not promise a particular coverage limit on this page.

Licensing and files

After full payment, the client receives a perpetual, worldwide, nonexclusive license to use the approved final deliverables for its business and promotional purposes. Event Recap Plus retains ownership of raw footage, project files, tools, and templates. Working media may be deleted 90 days after final delivery. Portfolio use requires the client’s separate written permission.

Weather and force majeure

The parties will prioritize safety and reasonable schedule adjustments. If severe weather, venue closure, government action, illness, or another event outside reasonable control prevents performance, the parties will try to reschedule. Completed work and nonrefundable costs remain payable; extra coverage or a reshoot is quoted separately unless Event Recap Plus caused the failure.

Client responsibilities and acceptance

The client is responsible for access, schedules, a safe work environment, venue permission, speaker or participant releases, accurate brand assets, and one authorized reviewer. Feedback is due within five business days of each review version. Unless the proposal says otherwise, silence after ten business days may pause the schedule; it does not waive the client’s remaining revision round.

Deliverables are accepted when approved in writing or used publicly, subject to correction of material technical defects reported promptly. These terms are a business draft, not legal advice, and may be updated before a proposal is signed.
